Meta Business Agent: How Meta’s AI Agent Handles Customer Conversations on WhatsApp, Instagram, and Messenger

Meta Business Agent is an AI agent that replies to your customers inside Meta’s messaging apps. It answers questions, recommends products from your catalog, books appointments, qualifies leads, and hands the conversation to someone on your team when a chat needs a person.

You can use it on WhatsApp, on Messenger, and as a chat window on your website, and Meta is rolling it out to Instagram. Because Meta builds and runs the agent, you can turn it on without a third-party provider or any code. That puts AI customer support within reach of small businesses that couldn’t set up a chatbot before.

What Is Meta Business Agent

Business Agent is built into WhatsApp and Messenger, so it answers customers in the same chats where they already reach you. Meta counts more than a billion conversations between businesses and customers on its messaging apps every day. More than a million businesses already use the agent on WhatsApp and Messenger.

If you’ve used greeting or away messages, you know they send the same text every time. Business Agent holds a natural conversation and follows the customer from one question to the next.

It learns from information that you already have, such as your catalog, business description, hours, FAQs, social posts, and website. It also replies in the language that your customer writes in, so you don’t need to translate anything.

What Meta’s Business AI Agent Can Do

The agent can handle most of a customer conversation inside the chat:

  • Answer Questions: It replies to questions about your hours, location, products, prices, discounts, payment methods, and shipping.
  • Recommend Products: It suggests items from your catalog based on what each customer is looking for.
  • Book Appointments: It schedules services, consultations, and reservations without the customer leaving the conversation.
  • Qualify Leads: It collects customer details and tells you which people are ready to buy and which ones are still browsing.
  • Close Sales: It guides customers from their first question to a purchase in the same conversation.
  • Hand Off to a Person: It alerts you when a chat needs your attention and passes the conversation to your team.

Customers can ask for a person at any point, and the agent will also hand off the conversation on its own when it isn’t sure of an answer. You can step into any chat whenever you want, and the AI stops replying as soon as you do.

Where Customers Can Chat With Your Agent

Customers can start a conversation with your agent from a few places:

  • Your Facebook Page: The Send message button opens a chat with the agent on Messenger or WhatsApp.
  • Click-to-Message Ads: People who tap your ad go straight into a conversation with the agent.
  • Your Website: A chat window lets the agent recommend products and guide visitors to checkout.

Meta tells customers when they’re chatting with a business that uses its AI.

How to Set Up Meta Business Agent

Setup takes a few minutes and doesn’t require any coding. The steps depend on the channel.

On WhatsApp

To set up Meta Business Agent on WhatsApp, you need the WhatsApp Business app and a product catalog. If you don’t have a catalog yet, you can create one during setup.

  1. In the WhatsApp Business app, go to Tools and select Meta Business Agent.
  2. Let the agent learn from your past chats and your catalog, and add your website if you have one.
  3. Test the agent, then turn it on. You can change its settings at any time from Tools.

On Messenger

  1. In Meta Business Suite, check that messaging is turned on for your Facebook Page.
  2. Click All tools, select Meta Business Agent, and follow the guided steps.
  3. Test the agent’s replies before it goes live with customers.

On Your Website

You can create a website agent in Meta Business Suite and connect it to your Shopify store. Website conversations appear in your Meta Business Suite Inbox with the rest of your messages.

On Instagram

Meta Business Agent for Instagram is rolling out gradually, starting with a select group of professional accounts. Check Meta’s Business Agent page to see if it’s available for yours.

How to Turn Off Meta Business Agent

In the WhatsApp Business app, go to Tools > Meta Business Agent and open the response settings. From there, you can pause AI replies or disconnect the agent completely. Each app has its own setting, so if you also use the agent on Messenger, turn it off there as well.

How to Train and Control Your Agent

You decide what the agent knows and how it behaves:

  • Business Information: Add your catalog, price lists, FAQs, and website so the agent answers from the details that you choose.
  • Tone and Instructions: Tell the agent how to talk to customers, when to be active, and which topics to stay away from.
  • Testing: Chat with the agent as if you were a customer, and adjust its replies before it goes live.
  • Audiences: Choose who the agent responds to, such as all customers, only new customers, or people who come from your ads.
  • Handoff Rules: Flag the topics that you want to handle yourself, and the agent passes those chats to you.

The agent improves as you give it feedback and take over conversations. If your products, prices, or policies change, update its information the same day so customers get the current details. Depending on your account, you can also get a morning briefing that sums up the chats you missed overnight.

Meta Business Agent Platform for Larger Businesses

If you have developers on your team, the Meta Business Agent Platform lets you connect the agent to the tools that run your business, like Shopify and Zendesk. With those connections, the agent can check order status and stock levels in the middle of a conversation and tell customers when their order ships.

Meta Business Agent Pricing

Meta Business Agent is free to start. In the WhatsApp Business app, it includes a monthly allowance of responses. Once you reach it, you can wait for the allowance to refresh or subscribe to a Meta One plan for more responses. You’ll find the plans available to you under Settings > Subscriptions in the app, and both plans and features vary by country.

Larger businesses that run the agent through the WhatsApp Business Platform pay based on usage. The cost of each reply depends on how much work it takes, so a quick answer about your opening hours costs less than a detailed product walkthrough. Meta publishes its current rates on the WhatsApp Business Platform pricing page, so check them before you budget for the agent.

The Limits of Meta Business Agent

Business Agent covers a lot of ground in customer support, and it also has a few limits that shape how you can use it.

It Covers Meta’s Apps and Your Website

The agent works on WhatsApp, Messenger, and your website, and Meta is expanding it to Instagram. If customers also reach you by email, by text message, or on platforms like TikTok, your team handles those conversations as usual.

It Replies When Customers Write First

The agent responds to people who message your business. Starting a conversation from a comment under a Reel, a Story reply, or a campaign is a job for trigger-based automation.

The AI Writes Each Reply

You set the tone, the topics to avoid, and the information that the agent uses, and the AI chooses the exact wording of each reply. Meta warns that some AI replies may be inaccurate, so plan to review conversations regularly, especially in the first few weeks.

Meta Business Agent vs. DM Automation

An AI agent and a DM automation both reply to messages for you, but they work in different ways. An AI agent like Business Agent reads each message, works out what the customer wants, and writes a new reply from the information that you gave it. That makes it good at open-ended questions, where every customer asks in their own words.

DM automation follows rules that you set. When someone does a specific thing, like commenting a keyword under a post, it sends the message that you wrote, word for word. That predictability is what you want for campaigns, promo codes, and lead magnets, where every person needs to get the same offer.

If most of your messages are customers asking about sizes, shipping, and stock, Business Agent is the better fit. If you want to start conversations from your content, through a keyword comment or a Story reply, Flows is built for that.

Using Meta Business Agent and Metricool Flows Together

The two tools cover different parts of the same customer journey, so you can run both. Flows starts conversations from your content, and Business Agent answers the questions that come after.

If you post a Reel about a new product and ask people to comment “DISCOUNT,” Flows replies under each comment and sends a DM with the promo code and a link to chat with you on WhatsApp. When those customers write in to ask about sizes or delivery times, Business Agent answers from your catalog, and your team steps in for anything that needs a person.

Each tool runs in its own app. You set up Flows in Metricool, and Business Agent in the WhatsApp Business app or Meta Business Suite. Every message that Flows sends also shows up in your Metricool Inbox, next to your planner and analytics, so you can see which posts bring in conversations.

What Business Agent Means for Social Media Teams

For a social media team, Business Agent takes the repeat questions out of your inbox. Questions about prices, sizes, and opening hours get an answer at any hour, including weekends and late at night. Your team steps in only when a chat needs a person.

It can also bring new customers to you. People can find businesses that use the agent by searching for their name on WhatsApp or through a contact that a friend shares in a chat. From there, someone can discover your business, ask a question, and buy from you without leaving the app.

As more businesses switch on AI replies, customers will expect a quick answer from every business they message, including yours. Your team can stand out with the work that sits outside the agent’s job: turning engagement on your content into conversations, building campaigns, and measuring what happens after the first message.

How to Decide If Meta Business Agent Fits Your Business

Before you turn on Meta Business Agent, look at these four things:

  • Availability: Meta is rolling the agent out country by country, so open the WhatsApp Business app or Meta Business Suite to see if it’s available for your account.
  • Your Message Volume: If you get a steady stream of repeat questions in WhatsApp, Messenger, or Instagram DMs, the agent can take on most of them.
  • Where Your Conversations Start: Compare how many chats begin with a customer question and how many begin with your content. The agent covers the first group.
  • Your Costs: Track how many conversations you handle each month, so you can see when you’re close to the free allowance.

If repeat questions on WhatsApp and Messenger fill most of your inbox, Business Agent was built for a business like yours.

Flows turns keyword comments and Story replies on Instagram into DMs, so customers reach your inbox ready to ask about your product.
